Facilities Assistant
We are seeking a knowledgeable and result-oriented facilities assistant to oversee the maintenance and upkeep of the museum, repairs, facilities processes and information systems that support the day-to-day operations of Jameel Art Centre in both private and public spaces. Reporting to the Facilities Manager, the Facilities Assistant’s priority is to ensure that the back and front of house operations are safe for all parties to use by overseeing planned preventive maintenance and being the champion of HSE best practices.
Roles & Responsibilities
- Technical Support: Troubleshoot, respond to and document facilities issues (during and after operating hours) that arise from the building’s integrated systems (HVAC, fire alarm, electrical outages, water leaks, CCTV etc).
- Event Coordination: Closely work with the Operations, Events and Public Programming teams in planning and executing technical requirements for various events throughout the museum’s indoor and outdoor venues. Events may be talks, conferences, panels, performances, demos and festivals. Participate in pre-event meetings to understand event requirements – furniture and equipment, space preparation, power, manpower (security, soft and hard services), event set-up and decommissioning. It is expected from the Facilities Assistant to provide recommendations and solutions to challenges and oversee procurement and/or rental of additional equipment when necessary.
- Exhibitions Coordination: Plan with the Exhibitions team to understand upcoming artist and exhibition requirements that may require changes in the existing building fixtures and utilities, manpower support (security, soft and hard services), and art maintenance requirements.
- Building and Facilities Maintenance: Ensure optimum operation of building systems by conducting regular inspections to identify abnormalities, faults and malfunctions throughout the physical building structures and its underlying systems and advise on cost-effective solutions. Coordinate and supervise scheduled Planned Preventive Maintenance (PPM) and repairs or parts/equipment replacements as needed. Keep up-to-date with the latest building improvements and trends to make informed recommendations for capital improvements that will suit the growing needs and demands of the museum.
- Documentation and Reporting: Create and maintain comprehensive documentation related to building management systems, utility consumption, operating temperatures, operational procedures, health and safety guidelines etc. Ensure that government documents and permits are maintained and up to date and compliant. Generate post-event and post-exhibition reports to evaluate facilities and operations performance, identify areas for improvement, and propose innovative solutions.
- Contractor and Third Party Management: Source and identify potential contractors and suppliers to create a pool that can be contracted for projects, events or exhibitions. Manage permits, access and works by service providers working on the premises of the museum ensuring that assets are protected and cared for by said providers.

Qualifications and Experience
- A degree in Facilities Management, Mechanical/Electrical/Civil Engineering, or related fields.
- Knowledge and expertise in facilities maintenance, planned preventive maintenance, grounds and custodial principles and practices.
- Knowledge in contract management, and procurement principles and practices.
- Demonstrate strong organisational, problem-solving and project planning skills.
Conditions of Work
- This is a full-time position based in Dubai, UAE
- Mostly weekend and evening work according to events and programmes as required
- On-call on a rotation basis during weekends
