Job Description
Art Jameel is looking for a meticulous, detail-oriented professional with exceptional organisational skills who would relish the opportunity to work in a fast-paced, creative environment. This new role is at the heart of Art Jameel’s operations; it involves working closely with colleagues in legal, HR, procurement, finance, IT, facilities, programming and events while liaising with all departments, including developing and maintaining organisation-wide operational policies and procedures. The role would suit a solutions-oriented, proactive, experienced team player with a warm, dynamic and confident approach – an administrator adept at managing aspects of correspondence, filing, liaison with finance and legal counsel, and managing crucial internal and external documentation.

Responsibilities and Duties
Legal and HR support
- Manage liaison and administration of all contracts with suppliers/vendors, artists, collaborators and other third parties.
- Collaborate with relevant stakeholders in reviewing, negotiating and finalising and approving contracts.
- Maintain a comprehensive contract management system and monitor contract expiration dates, initiate contract renewals, amendments or terminations as needed.
- Serve as the primary point of contact for legal matters related to administrative and operational functions.
- Collaborate with the legal department to ensure compliance with applicable laws and regulations.
- Facilitate communication between internal teams and external legal counsel.
Administration and document management
- Support with recruitment by scheduling interviews, communicating with candidates and assisting with initial resume screening.
- Maintain digital employee records on the HRIS, ensuring 100% accuracy and data integrity.
- Assist with audits and ensure all company policies are up to date with local labor laws.
- Regularly update (and establish where necessary) and maintain a clear, efficient filing system, including shared folders and a related organisational archive.
- File and safeguard important records, and archival documents, developing, maintaining and communicating protocols for document retention, retrieval, and disposal in accordance with legal requirements.
- Ensure accessibility and confidentiality of archived materials.
- Regularly update (and/or establish where necessary) and maintain HR employees data, administrative policies and procedures, and lead/aid in efforts to streamline processes and implement best practices.
- Liaise closely with the finance and legal departments and with the senior management team to monitor and communicate to team members any changes to SOPs and workflows; update and maintain Art Jameel’s Digital Handbook.
Operation and programming support
- Work with the PRO to Support the Events and Programming teams in processing necessary permits and NOCs from governmental entities where needed, e.g. Dubai Department of Economy and Tourism, Criminal Investigation Department, Dubai Holding Community Management, Roads and Transportation Authority…etc…
- Drafting and preparing honorariums and cash payments for facilitators, performers or any participants that require payments during large scale events and festivals.
- Support the Procurement team with purchase orders when needed.
Requirements
- Bachelor’s degree in Law, Business Administration or a related field.
- Proven experience in legal and contract management, HR Labor Law, and administration or related roles, preferably in the creative or related sector
- Excellent written and verbal communication skills in English; proficiency in Arabic and/or other languages related to the UAE is desirable
- Exceptional organisational and time management skills
- Strong attention to detail and ability to maintain accuracy in documentation and correspondence
- Ability to collaborate effectively with diverse teams and stakeholders
- Strong analytical and problem-solving abilities, addressing operational challenges promptly and in a calm, solutions-oriented manner
- Proficiency in Microsoft Office Suite and Google Suites
- Experience with document management systems and digital archiving
- Ability to work in a flexible, entrepreneurial, multi-tasking, fast-paced and dynamic environment
