Part-time Library Operations Assistant

As a Library Operations Assistant, you will ensure visitors have a pleasant and memorable experience at Jameel Library and Jameel Arts Centre. You will assist visitors in navigating the library, answering questions, and providing information about the collection, exhibition, events, and amenities. Additionally, you will help maintain a safe and clean environment, including library daily operations, reshelving and monitoring and reporting any issues that may arise. Additionally, the Assistant will provide administrative support to the team by managing various tasks such as data entry, cataloguing, deliveries, handling correspondence, and performing general office duties. 

Accountability

This role reports to the Library and Research Manager.  

Responsibilities and Duties

 

  • Welcoming visitors to Jameel Library (includes evenings and weekends; part-time weekly)
  • Managing in-person, phone and email enquiries, including facilitating contact with the relevant library staff, directing to the library resources, communicating library policies
  • Providing information to visitors and group tours of the Library and its displays upon request
  • Attempting to resolve and act on visitors’ feedback and concerns; recognise the need to escalate if required
  • Supporting the Library Coordinator and Manager with the supervision of volunteers, which includes training
  • Ensuring smooth operations of all library front desk functions: Email and phone inquiries, library systems monitoring and facilitation, locating books, shelving books, itemisation of library materials according to the library systems
  • Monitor the Jameel Library for safety hazards and report any issues to the appropriate team member
  • Ensure that visitors are adhering to Library rules and regulations
  • Assist with special events and programmes as needed including tours, registration, and front desk staffing
  • Stay up-to-date on current events and exhibitions to provide accurate information to visitors
  • Assist with the daily operations of the Jameel Library, including opening and closing of displays and inventory management
  • Answer and direct phone calls, take messages, and relay information as needed
  • Handle incoming and outgoing mail and packages
  • Manage email and correspondence for the team
  • Perform data and cataloguing entry and maintain databases and spreadsheets; Working alongside Library & Research Coordinator to upkeep inventory and logs
  • Provide general administrative support, item storage and related tasks as needed
  • Monitor Jameel Library’s operating system (Koha)
  • Part-time position covers the weekends and some weekdays evening shifts
    • The regular working hours for this position are:
      • Fridays, 12:00pm – 8:00pm
      • Saturdays, 10:00am – 6:00pm
      • Sundays, 10:00am – 6:00pm 

Requirements

  • Must have UAE residence visa
  • Prior experience in a customer service or hospitality role preferred
  • Excellent written and verbal communication skills
  • Strong organisational skills and attention to detail
  • Proficiency in Google Workspace or similar
  • Ability to work in a fast-paced environment and multitask effectively
  • Ability to work a flexible schedule, including evenings, weekends, and holidays
  • Ability to work weekends 

Conditions of Work

  • Based at Jameel Arts Centre, Dubai
  • Part Time position starting 5 July 2024 
  • Three workings days per week
  • Shift-based schedule including evenings and weekends, with days off scheduled on weekdays
  • Public holiday coverage with time off in lieu
