Process Documentation and Knowledge Management – Freelancer
Job Description
Art Jameel is seeking a detail-oriented and proactive Process Documentation & Knowledge Management freelancer to support the development of the organisation’s Digital Handbook. This role will work closely with the Senior Manager of Operations and IT alongside the Process Documentation Taskforce to collect, document and structure processes across Art Jameel’s global departments, ensuring that institutional knowledge is captured, standardised and accessible.
The ideal candidate is highly organised, skilled at writing and structuring information and comfortable engaging with team members across all departments across Art Jameel’s branches in Dubai and Jeddah to extract, clarify and document processes and department handbooks.

Key Responsibilities
Process Mapping and Documentation
- Collect and organise workflows, SOPs, policies and procedures from different departments across Jeddah and Dubai which have site-specific variations.
- Attend regular Taskforce meetings to capture essential notes in deep dive discussions pertaining to specific department processes.
- Draft clear, concise and structured process documents, checklists, timelines, guides and capture institutional knowledge.
- Standardise documentation format for consistency across departments.
Handbook Development
- Assist in compiling collective institutional knowledge (process documents, checklists, timelines, guides, handbooks and other supplemental documents) into a single digital organisational handbook
- Ensure content is accurate, up to date and aligned with organisational standards.
- Support version control, updates and cross-referencing of documents across platforms consolidating them into one.
- Closely coordinate with the Design department in applying branding guidelines onto the general language, format, structure and design of the handbook.
Knowledge Management
- Design, format and structure content of the digital handbook into the preferred platform of the organisation.
- Structure documentation in AI-friendly format and structure for efficient searchability and interpretation.
- Track gaps in documentation and follow up with relevant teams.
- Adapt a wiki framework for documentation that’s easy to read and access.
- Incorporate accompanying learning components such as screenshots and other media to illustrate certain steps of processes.
Project Support
- Maintain project plans and trackers on a project management platform.
- Provide weekly progress reports and deliverables.
- Coordinate deadlines and reminders across stakeholders.
Qualifications
- Strong organisational and project coordination skills.
- Background in project management (Asana, Monday, ClickUp) and AI tools used in optimising data for AI.
- Excellent written communication and ability to simplify complex processes using simplified terms.
- Proficient in using Google Workspace suite of apps.
- Comfortable conducting interviews and gathering information from team members at different levels.
- Detail-oriented with a structured approach to work.
- Background in operations, administration, project management or knowledge management is an advantage.
Conditions of Work
- This is a full-time position for 3 months
- Work can be done remotely.
