Visitor Experience Assistant

As a Visitor Experience Assistant at Jameel Arts Centre, your primary responsibility is to create an exceptional and memorable experience for visitors. As a vital member of the visitor experience team within the Audiences department, you will serve as the first point of contact, warmly welcoming and assisting members of the public at Jameel.

Your role extends to checking in registered event attendees, guiding walk-ins, and addressing inquiries. Additionally, you will play a key role in training and supporting volunteers, maintaining accurate visitor count records, and contributing to various reports. Providing way-finding assistance, ensuring accessibility, and managing supplementary exhibition content are integral aspects of your responsibilities. You will also assist in outreach campaigns, handle phone and email inquiries, and oversee visitor contacts, surveys, and documentation.

Furthermore, you will take charge of coordinating exhibition openings and closings, troubleshoot any related issues, and diligently report incidents. Your commitment to enhancing the overall visitor experience will be evident through your proactive involvement in various aspects of visitor engagement.

Accountability

This role reports to the Visitor Experience Coordinator.

 Responsibilities and Duties:

  • Welcoming visitors, answering their questions, and guiding them to the best experience possible.
  • Open and close exhibitions, ensuring smooth operations by performing routine checks and troubleshooting concerns.
  • Report incidents promptly and ensure crowd control measures are in place.
  • Register visitors and guide walk-ins through the registration process.
  • Answer questions and guide visitors on programmes, activities, and facilities.
  • Train and assist in managing volunteers according to event and programme requirements.
  • Maintain visitor count records in collaboration with security staff.
  • Assist in composing daily, weekly, and monthly reports.
  • Provide way-finding assistance and manage on-site signage and spaces for upcoming programmes.
  • Ensure accessibility and assist in creating supplementary exhibition content, including audio guides and similar.
  • Assist in outreach campaigns and actively engage with visitors by phone and email regarding programmes and events.

Skills and Tools:

  • Utilise CRM software (Mailchimp and Hunter.io), Google Suite, and Typeform with the added ability to collate, clean and import contacts from registered forms and update contact details as shared by team members.
  • Updating contact details as shared by team members.
  • Create and oversee visitor surveys for events and programmes.
  • Document and communicate visitor feedback for continuous improvement.
  • Excellent command of Google Suite Products (Sheets, Docs, Slides) and Microsoft Office.

Requirements:

  • This role is suitable for a dynamic and personable individual with exceptional interpersonal skills, a warm and welcoming demeanour, and a genuine enthusiasm for engaging with people.
  • Minimum of 2 years experience in a similar role in retail, customer service, hospitality, tourism or arts and culture.
  • Excellent written and verbal communication skills in English. Arabic and other languages are a plus.
  • Strong organisational skills and the ability to manage multiple tasks.
  • Exceptional interpersonal skills and attention to detail.
  • Previous exposure to CRM software, including Mailchimp and Hunter.io, and proficiency in Google Suite.
  • Knowledge of Typeform for effective communication and data collection.
  • Some experience in VIP relationship management.
  • Ability to work evenings, weekends, and holidays.

Conditions of Work:

  • Based at Jameel Arts Centre, Dubai.
  • Full-time position starting
  • Four and a half working days per week.
  • Shift-based schedule including evenings and weekends, with days off scheduled on weekdays.
  • Public holiday coverage with time off in lieu.
