Public Programmes and Events Internship

Job Description

The primary focus of this role is to support in the organisation, development and implementation of public programmes taking place at Jameel Arts Centre this fall/winter 2021.
Accountability
The Intern reports to the Public Programmes and Events Department.
Responsibilities and Duties

General

● Liaise with suppliers and participants in the lead up to, during and after events – including caterers and furniture providers, as well as market and food vendors, speakers and workshop leaders, among others
● Support with administrative processing of programme participant and vendor payments and agreements in collaboration with the Art Jameel finance team
● Actively monitor event updates and ensure they are reflected on the Jameel Arts Centre website
● Work with the communications team to ensure all published information is accurate and up-to-date, including event capacities
● Other duties as management deems fit

In the lead up to events

● Monitor galleries, exhibits and courtyards and report any maintenance requirements to the facilities team and landscaping contractors
● Support on the research, logistics and development of the festival programme taking place at the end of November
● Actively identify, seek out and invite specific interest groups, associations and other potential group visitors, and support on the collection of RSVPs for events and liaising with attendees in the lead-up to events
● Liaise with the visitor experience team on the recruitment of volunteers, including identifying volunteer stations and tasks, where applicable
● Contribute to the development of post-event evaluation processes, such as surveys

During events

● Provide visitor reception, information and orientation
● Encourage visitors to engage fully with the Centre and its facilities; to sign up to the newsletter; drive traffic to the shop (online and on site), library and restaurant, and so on
● Actively check on all participants and all activated areas, escalate to the PPE team where necessary, and to troubleshoot and ensure that problems are proactively addressed and avoided, successes are noted, and problem areas are identified for future improvement

Post events

● Participate in and contribute to post-event internal and external assessment procedures
● Support in the takedown of event infrastructure and in the overall event wrap up procedure
Qualifications and Experience
● University student or fresh graduate
● Available for a full-time 3-month internship between September and December 2021
● Born leader, with an entrepreneurial mindset and passion for making things happen
● Collaborative spirit ideal for working across teams and business partners
● Strong analytical and strategic thinking skills
● Excellent time management, communication (verbal and written) and organisation skills
● Passion for arts, programming and events
● GCC Nationals or UAE residency holders
● English fluency, Arabic is an asset
● Drivers license is a plus

Conditions of Work

● 3-month internship based at Jameel Arts Centre in Dubai, UAE
● Occasional weekend and evening work according to workload is also required
